What to put on a auto repair estimate

  • The vehicle: year, make, model, VIN, plate and mileage
  • The customer's complaint or the work requested
  • Labor and parts on separate lines, with part numbers where you have them
  • Whether parts are new, used or rebuilt
  • Any warranty on parts or labor, and how long it lasts
  • Tax on the lines your state taxes
  • Your business name and how to reach you
  • The client's name and address
  • A unique number and the date

How to use this template

  1. Enter your business details once. This browser remembers them for next time.
  2. Add the client, the date and the job details.
  3. List each item on its own line. Tick “Taxed” for the lines you charge tax on, and enter your tax rate.
  4. Choose “Download PDF or print”, then “Save as PDF” in the print window.
  5. For the next job, choose “New estimate”. It keeps your business details and moves to the next number.

Tips

  • Record the mileage on every invoice. It builds the vehicle's service history and settles warranty questions.
  • Tax rules for parts and labor differ by state. Check with your state's revenue department and mark each line.
  • If the customer declined recommended work, note it on the invoice.
  • Number every document in order and never reuse a number. It makes your records easy to follow.
